Admin. Asst / Bookkeeper sought by Hollywood Theatre

This position reports to the Business & Facilities Manager but serves as the Administrative Assistant to the entire business office. It is 50% bookkeeping and 50% other varied activities.

Scheduled Work Hours: 40hrs/wk, 8:30am – 5:00pm


A keen intelligence and pleasant personality
2+ years administrative experience
2+ years customer service experience
1+ years bookkeeping experience
EXCELLENT attention to detail
Understanding of and familiarity with a non-profit environment
PC based MS Office suite
Familiarity with Google Drive (Drive, Mail, Docs, Sheets etc)
Professional attitude and appearance
Database experience
High level of willingness and comfort in learning new computer programs
Excellent mathematical ability
Strong written communication skills
Willingness and DESIRE to jump in and help out wherever needed

Quickbooks Online experience
DonorPerfect knowledge
Familiarity with Apple environment

Experience with Agile Ticketing service

Job duties, including but not limited to:
Daily Quickbooks data entry, A/P assistance, cash counting and processing, month end assistance
Donation receipting
Filing, printing and photocopying
Setting up new events in the ticketing system
Phone answering, voicemail monitoring
Receiving customers, vendors and contractors both at the office and at the theatre
Handle customer ticketing inquiries
Monitoring, ordering and maintaining office supplies
Out of office errands (post office, supply purchasing etc)
Receive and disseminate emails that come to general mailbox
Assist in marketing efforts, print posters, do email blasts using Emma
Create and report weekly box office totals to movie studios
