Position Title: Agency Programs Assistant & Project Manager

Reports To: Deputy Director of Programs

Classification: Full-Time

FLSA Status: Exempt, 1.0 FTE

Compensation: $ 53,000 per year

POSITION DESCRIPTION

This position will be responsible for working collaboratively to support the effectiveness of the Deputy Director of Programs and the Programs Team by providing strategic project management and administrative support. This position requires excellent follow through; high attention to detail; strong writing skills; and excellent communication through one on one meetings, phone, email, and group communication with Latino Network community partners, staff, and program participants. The person serving in this position must have facilitation experience and be able to guide conversations clearly and fluently in both English and Spanish.

RESPONSIBILITIES:

Manages Agency wide projects to support Program related needs as identified and offers ideas for development in these areas in line with the priorities of the Agency’s Strategic plan.
Develops and maintains a budget tracking system to support program directors.
Maintains Deputy Director’s calendar of appointments and processes travel requests for the Deputy Director and Program Directors.
Provides administrative support to the Deputy Director of Programs and Program Directors Team.
Coordinates bulk orders of department supplies, including client assistance, gift cards, program supplies and equipment.
Plans and schedules meetings, reserves conference rooms, attends meetings when appropriate, takes meeting minutes and manages follow up tasks.
Creates, edits and formats various types of documentation and complex correspondence, including letters, meeting minutes and agendas, reports, publications and statistical data.
Ensures the accuracy of agency reports, publications and other documents that include proprietary and confidential information.
Assists in the execution of special assignments, including compiling and analyzing data, drafting talking points, and reviewing newsletters. Conducts major clerical and program related projects independently as assigned, prioritizing tasks to meet deadlines while maintaining accuracy and attention to detail.
Maintains effective working relationships with other members of the Agency as well as board and community members, including those from diverse cultures or backgrounds or those who speak limited or no English.
Assists with event coordination and management as needed, including Noche Bella, donor sponsored events, leadership planning retreats.
Maintains punctual, regular and predictable attendance.
Works collaboratively in a team environment with a spirit of cooperation.
Supports the Deputy Director of Programs and Program Director team with other duties assigned /needed.
Respectfully takes direction from Supervisor.

Requirements

REQUIRED SKILLS/KNOWLEDGE/ABILITIES:

Minimum two years experience supporting an executive, leadership team, or director overseeing a culturally specific program and/or team or an equivalent combination of education and/or work experience.
Experience working with multiple calendars, competing interests and priorities.
Demonstrated ability to work independently, leading a team, and as a collaborative team member.
Demonstrated experience working with complex systems, agencies, and organizations.
Accounting or bookkeeping experience preferred.
Excellent oral communication skills in Spanish and English (including public speaking).
Business writing skills with ability to compose reports, proposals, meeting minutes and other business correspondence.
Employ critical thinking and confidence in decision-making and carrying out actions.
Respect for diversity; desire and ability to work cross-culturally.
Knowledge of culturally based world-view and problem solving practices of Latino individuals and families in urban neighborhoods impacted by racial inequity, poverty and structural barriers required, bicultural preferred.

WORK ENVIRONMENT

Latino Network is a fast-paced, highly engaged work environment with satellite operations with positions performing work both onsite and remotely. While performing the duties of this job, the employee is occasionally exposed to wet or humid conditions (non-weather); outdoor weather conditions; extreme cold (non-weather) and extreme heat (non-weather). The noise level in the work environment is usually moderate.
