Position: Bilingual Administrative Assistant
Reports to: Administrative Coordinator
Position Status: Hourly, Non-Exempt

Youth Music Project, a nonprofit 501(c)3 music school, provides outstanding rock, pop, and country music education to children throughout Clackamas County. YMP offers group and private music lessons, and provides students with state of the art performance opportunities. Families who qualify for free/reduced lunch, SNAP/WIC, and OHP are eligible for tuition assistance.
We are seeking a Bilingual Administrative Assistant reporting to the Administrative Coordinator. The Administrative Assistant team serves as a first point of contact for families, community members, donors, and partners at the organization and supports administrative tasks and projects essential to the function of the organizational. Pay range is $15.00-15.75.
Youth Music Project hours are typically 9:30am – 7:30pm, Monday through Thursday, 9:30am – 5:00pm on Fridays and 9:00am – 5:00pm on Saturdays. This position will work 35-40 hours a week. This position is primarily weekday afternoon/evenings and Saturday shifts but may include other hours. Schedule may vary occasionally during breaks between terms and concert weeks.
Check students in and out at the beginning and end of lessons
Greet customers, manage incoming calls and customer service inquiries, lead tours of facility. (First point of contact for the organization.)
Serve as a verbal interpreter/liaison between non-English speaking families and the organization
Enter data through customer relations management software
Track student attendance and enforce attendance policies
Operate the point of sale system
Handle cash and checks, understand processes for receiving donations and receivables
Learn safety procedures and be familiar with YMP emergency action plan and the role of the safety team
Understand and execute proper opening and closing procedures of the building
Assist with the instrument rental program in collaboration with the Instrument Coordinator and Administrative Coordinator
Assist with Youth Music Project’s Tuition Assistance program – answer questions, review and process qualifying documentation, keep customer accounts updated
Other duties as assigned
Required Qualifications and Experience:
High School Diploma or GED
Experience working with children and families
Bilingual- Ability to communicate written and verbal in both English and Spanish
Commitment to providing quality customer service- being culturally responsive to people from diverse backgrounds.
Ability to recognize confidential documents and maintain employee and client confidentiality in a professional manner
Ability to work in an office with high traffic, high call volume, and frequent interruptions
Intermediate level experience using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Suite (Google Docs, Google Sheets) in a work setting
Available and willing to work evenings and Saturdays
Must pass a strict background check
Preferred Qualifications and Experience:
Familiarity with customer relations management systems and practices
Background or familiarity with music and music education
Ability to contribute ideas, initiate new ways of working, and show enthusiasm for project work and special assignments.
While performing the duties of this position, the employee is consistently required to remain in a stationary position for at least 50 percent of the time; occasionally move about and walk. The incumbent in this position will need to constantly operate and handle computers and other office equipment, frequently communicate with clients and be able to exchange accurate information and occasionally lift and/or move up to 40-45 pounds.
