Title: Executive Assistant & Communications Manager
Position/Status: Full Time/non-exempt
Reports to: Executive Director
Location: Portland, OR
Position Summary
The Executive Assistant & Communications Manager is a 40 hr/week position with Third Angle New Music, Portland’s leading contemporary chamber ensemble. The Executive Assistant & Communications Manager handles clerical support for the organization’s day to day operations and programs as well as coordinating marketing and outreach efforts to promote Third Angle and its programs and initiatives. This is a fully remote position with scheduled online and in-person meetings and a flexible work schedule that can be self managed.

Compensation and Benefits: $21/hr, flexible work schedule, annual professional development stipend & community engagement stipend. Annual cost of living wage increases in addition to performance based wage increases.

Responsibilities by Categories:
Administrative:
-Update and manage database(s)
-Ordering office supplies
-Filing and organizing
-Regularly check the Third Angle PO box and open mail
-Make deposits to the Third Angle bank account and follow all financial handling protocols
-Prepare artists contracts and itineraries for review
-Send and receive contracts and employment forms for all musicians and vendors
-Organize sheet music and rental/licensing for concerts
-Organize and coordinate volunteers for concerts and special events
-Assist with the planning and preparation of salons, donor events and special events, concerts, educational event, and board and committee meetings
-Gather data, information, and support materials for grant applications
-Attend meetings with and provide communication/documentation to bookkeepers
-Attend outreach and networking events within the community

Ticketing & Patron Services:
-Administer all concert and event ticketing and manage patron services
-Organize and coordinate on-site ticketing, signage, and promotional presentations for concerts and other events
-Sign patrons in and track attendance for each performance
-Manage the Third Angle office phone
-Create specific email lists for subsets of audiences as needed (concert attendees, donors, subscribers, etc.)
-Create reports of ticket sales/subscriptions/donations to present at Board meetings
-Other duties as requested by Executive Director

Marketing & Communications:
-Coordinate donor communications (thank you notes, schedule donor meetings)
-Draft messaging for fundraising campaigns, concert promotion, web pages, and social media posts
-Communicate with contracted marketing support about projects and strategy to ensure materials are completed on schedule
-Edit all printed and electronic communications including concert programs, e news letters, press kits, website copy, thank you letters, and social media posts
-Coordinate promotional trades with other organizations to increase reach of marketing efforts
-Add 3A events to public event calendars
-Work with Executive Director and contracted marketing support to determine realistic goals for each season regarding social media, email, patron retention
-Collect data and create reports for marketing metrics to assess
-Help select photos and edit/resize as necessary for various platforms
-Update and manage website
-Manage Social Media accounts (primarily Instagram, Facebook) — schedule posts, interact with other pages, respond to comments and messages, create stories and share posts as needed

Working Conditions/Requirements
Frequent use of computers, video calls and phone calls
On-site duties at shows require evening and weekend work hours
Ability to lift up to 50 lbs safely

Qualifications and Key Competencies
-Positive attitude, strong work ethic, flexibility and ability to be self-directed
-A strong commitment to equity and inclusion
-Cultural agility, and proven experience working with diverse teams
-Interest in New Music
-Experience with Social Media content management
-Experience with copy writing and preparing press releases
-Ability to meet deadlines
-Detail-oriented with clear and direct communication skills
-Previous experience with customer service
-Comfortable speaking with patrons and donors
-Experience with ticketing software & Customer Relationship Management systems (CRMs)
-Experience with music licensing and rental a plus
-A willingness to learn and ability to problem solve
-Familiarity with Google Workspace

Timeline: Position open until filled–interviews will be scheduled as qualified applications are received. Interviews will occur over zoom with a targeted start date of mid to end of March.
