ABOUT PORTLAND YOUTH PHILHARMONIC

Founded in 1924, Portland Youth Philharmonic (PYP) is America’s first youth orchestra. Our mission is to prepare young people for success through musical excellence. PYP serves hundreds of students and thousands of audience members each year through a vibrant mix of rehearsals, performances, and community programs.

PYP recently acquired its first permanent home: a Pietro Belluschi–designed building in Portland, listed as an Oregon Historic Landmark. Following planned renovations to enhance acoustic treatments and install state-of-the-art recording and livestreaming capabilities, this building will house all of PYP’s educational, administrative, and community activities.

The Facilities Director will play a central role in caring for and preserving this extraordinary space while ensuring it supports the needs of young musicians, staff, and visitors for generations to come.

Position Summary

The Facilities Director oversees the maintenance, operations, and improvement of PYP’s historic facility and grounds. This position ensures that the building is safe, efficient, acoustically optimized, and welcoming to all who use it. Responsibilities include managing building systems, security, contractors, and maintenance projects, as well as overseeing historic preservation standards and modern upgrades to support music performance, recording, and education. As this is a new position at PYP, the successful candidate will help shape the roles and responsibilities and grow the department in future seasons.

KEY RESPONSIBILITIES

Building & Grounds Maintenance

  • Oversee day-to-day operations of the facility, including HVAC, electrical, plumbing, lighting, and structural systems.
  • Develop and implement a preventive maintenance plan that supports the building’s historic preservation while maintaining modern performance needs.
  • Manage upkeep of rehearsal halls, classrooms, offices, and performance spaces, ensuring they are clean, safe, and acoustically appropriate.
  • Coordinate landscaping, signage, parking areas, and exterior maintenance to maintain an inviting and professional environment.
  • Conduct regular inspections and maintain maintenance records.

Renovation & Capital Projects

  • Partner with the Executive Director and project team during the upcoming renovation phase.
  • Coordinate with architects, engineers, contractors, and consultants to ensure work is completed on time, within budget, and consistent with historic preservation guidelines.
  • Manage vendor relationships and monitor project quality and compliance.

Vendor & Contractor Management

  • Solicit, evaluate, and negotiate bids for building services (janitorial, HVAC, landscaping, pest control, etc.).
  • Oversee outside contractors’ performance and ensure adherence to safety, quality, and schedule standards.
  • Maintain organized records of contracts, warranties, and service agreements.

Safety & Security

  • Develop and maintain safety, security, and emergency protocols for staff, students, and visitors.
  • Manage key and access systems, alarms, and security equipment.
  • Ensure compliance with city codes, ADA standards, fire regulations, and insurance requirements.
  • Serve as the primary contact for facility-related emergencies or incidents.

Budget & Planning

  • Prepare and manage the annual facilities budget, including utilities, maintenance, and capital improvements.
  • Track expenses and recommend cost-saving or energy-efficient practices.
  • Support long-term planning for building preservation and sustainability.

Teamwork & Collaboration

  • Provide facility support for rehearsals, performances, classes, events, and rentals.
  • Communicate clearly with staff, faculty, and families about facility access, closures, and maintenance activities.
  • Supervise facilities, event, and custodial staff or contractors as needed.

QUALIFICATIONS

  • Minimum 5 years of experience in facilities management, building operations, or construction management.
  • Knowledge of HVAC, electrical, plumbing, lighting, and security systems.
  • Experience managing vendors, contracts, and project budgets.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to work independently and collaboratively in a mission-driven environment.
  • Familiarity with historic buildings, preservation standards, and building systems in older structures preferred.
  • Familiarity with acoustic or performance spaces, recording infrastructure, or arts organizations a plus.

Physical Requirements

  • Ability to lift up to 40 lbs and perform physical inspections or maintenance tasks as needed.
  • Must be able to walk, climb, bend, and stand for extended periods.
  • Availability for evenings or weekends for events, emergencies, or maintenance work.

COMPENSATION AND BENEFITS

  • Annual salary of $62,000.
  • Option to enroll in PYP’s health insurance (medical and dental) plan after 30 days of employment. PYP pays 100% of the monthly premiums of the base plan for the employee.
  • 401k: PYP annually contributes to this staff member’s 401k account, currently at 3% of their annual salary. Employee may make additional contributions as payroll deductions.
