Office Coordinator

The Portland Saturday Market is hiring for an Office Coordinator, one that has a passion for Art, hand crafted items and those who make them.

The Office Coordinator is responsible for the smooth operation and administration of the front office while working as part of a team to ensure the Market operates successfully and efficiently. Requiring a high level of customer service in a welcoming and courteous manner, always representing Portland Saturday Market as a top tourist attraction. This role provides clerical support to the Board of Directors as well as a standing committee. Reporting to the Market Manager, this position will cover other administrative roles in event of absence.
Responsibilities include, but are not limited to:
• Answer phones and greet visitors
• Keep kitchen and restroom tidy and stocked
• Keep office tidy and organized, stocking and ordering office and water delivery
• Keep up with booth inventory and order supplies
• Creates and sends weekly newsletter using Canva and Mailchimp
• Administrates the PSM Storage program and member access
• Administrates vendor parking tag and insurance requirements
• Coordinate office cleaner and report points
• Administrate phones, voicemail and other office equipment
• Administrate New Vendor Applications and create files accordingly
• Assist Membership Coordinator with weekly maps and “allocation”
• Fully prepares booth for weekend: clean, stocked and all systems in working order
• Create and assist with onboarding checklist for new vendors/applicants
• Administrate the “Info” email
• Prepare a welcoming space for new staff
• General office duties: Filing paperwork and shredding of old documents etc.
• Assist office and Board with special projects
• Staff liaison to assigned committee
• Saturdays required as full shift in the booth
• Process vendor payments and update vendor information
• Contribute to the creation of office process and procedure
• Covers other office roles upon absence, cross training required
• Other duties as assigned

Two years’ experience in a highly active, customer service role. Exceptional computer skills with Microsoft and Google platforms. Adaptive and flexible to improved process efficiency. Previous experience within a membership or creative industry preferred. Autonomous problem-solving and initiative skills. Ability to work as a team and grow within the organization.
