POSITION SUMMARY: The Alberta Abbey is seeking a motivated problem-solver and multi-tasker to join our team. The successful candidate will possess mental agility and a demonstrated drive to lead a wide range of administrative and operational projects for a young non-profit. This is a complex position that will afford great learning opportunities. We are a small team seeking to rebuild post-Covid to full capacity. The ideal candidate values collegiality, collaboration, and shares a dedication to keeping the arts thriving in Portland. Service industry, event production, facilities and maintenance management, marketing, or other applicable experience is a plus. Google suite knowledge is required as many of our administrative, communication, and marketing tools are computer-based.
RESPONSIBILITIES: The Operational Assistant position, with its many facets, is intended to be provisional. Responsibilities will evolve as the pandemic circumstances and government re-opening guidelines change, and ultimately the position will be divided into multiple full and part-time positions. Likewise, the duties of the Operations Manager, to whom the Operational Assistant reports, will also evolve. At this stage, responsibilities include, but are not limited to, writing and editing communications, strategy building, leasing and event rental client management, event coordination and production, physical repairs and maintenance, and other general facility management tasks.
Some examples of specific duties:
Partner in production meetings including the Event Coordinator, clients, and additional production contractors to ensure successful events
Maintain strong relationships with third-party vendors and contractors
Maintain working knowledge of audio/visual equipment and best practices
Maintain working knowledge of electrical circuits/capacity
Maintain up to date knowledge of governing policies and restrictions pertaining to events and alcohol service
Organize, clean, maintain storage areas
Supervision and training of Alberta Abbey Event Staff
Maintaining building supplies and maintenance inventory
IT, Security, and Key management
Maintain working knowledge of HVAC systems
Maintain manuals and other building documentation
Handle basic facility maintenance and support renovation projects
SALARY: $16 an hour, 20 hours a week with opportunities for additional hourly event work and growth post pandemic to a full time position if desired.
