Patron Services Representative – Portland Opera

POSITION SUMMARY

The Patron Services Representative is a critical member of Portland Opera’s Patron Services team—serving as one of the first points of contact for Portland Opera patrons, community groups, staff and artists to ensure a great experience, while ensuring excellent customer service. Working closely with the Patron Services Supervisor and Senior Database and Sales Manager, the Patron Services Representative helps make Portland Opera performances and events come to life.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides high-level, concierge-style customer service on the phone, over email, and in person at Portland Opera events
  • Assists with data hygiene projects
  • Works at all Portland Opera events to support the Box Office functions and Front of House duties
  • Manages office duties such as mail, ticket printing and larger projects
  • Assists with ticket sales, subscription renewals and acquisition, sales and donation campaigns, and community ticketing initiatives
  • Conducts outbound sales and fundraising campaigns
  • Acquires and utilizes an in-depth knowledge of Tessitura ticketing system to maintain accurate patron, ticketing, and sales data
  • Follows best practices established by the Patron Services Supervisor
  • Works with development and marketing to ensure clear and accessible language is used in all correspondence, aligned with Portland Opera’s brand standards
  • Becomes thoroughly versed in all Portland Opera performances, events, and activities
  • Assists with event preparation including ticket printing, will call organization, and box office set up at performance venues
  • Maintains proactive and beneficial relations with coworkers, patrons, groups, and community partners

SKILLS AND EXPERIENCE

REQUIRED/ESSENTIAL

  • A minimum of 2 years related experience with quality sales and customer service
  • Excellent communication skills, with the ability to actively listen with empathy
  • Working knowledge or previous experience with customer relationship management database
  • Intermediate to advanced proficiency with Microsoft Office Suite, Teams, Dropbox, and Google docs
  • Experience answering a multi-line VoIP phone system
  • Ability to remain solution-focused and composed in stressful circumstances

 

HIGHLY DESIREABLE

  • Previous experience in a non-profit arts organization
  • Previous events experience
  • Previous experience with Tessitura a plus

 

 

JOB CONDITIONS

The nature of the Patron Services Representative’s work includes periodic evening and weekend hours. Essential duties require attendance at various opera venues for patron-focused events and productions.

 

Currently, Portland Opera Patron Services work is done on a hybrid schedule from home with some in office and performance venue duties.  Office work is performed primarily in a shared workspace/office with indirect natural light, overhead fluorescent, and task lighting.

While use of a personal vehicle is not required, the position does require the Patron Services Representative to travel locally after business hours, in evenings, and weekends, according to the performance and events calendar.

 

EQUIPMENT USED:  Most of the workday is spent using a headset phone system and working at a laptop computer, which is provided for the Patron Services Representative’s exclusive use; The Patron Services Representative routinely uses a ticket printer, copier/printer devices, and other standard office equipment.

 

PHYSICAL DEMANDS:  Long periods of sitting are required at the computer or in meetings. Long periods of standing may be required at events.  Occasional lifting and moving of boxes and equipment are required; objectives weighing more than 20 pounds should be lifted with assistance. Workday hours may be irregular, including occasional evenings and weekends, during opera performances or company events.

  • Compensation Structure: This position offers an hourly rate of $22 with the below benefits:
