Rental Sales Gallery Supervisor

The Portland Art Museum welcomes applications for the Rental Sales Gallery (RSG) Gallery Supervisor. The RSG Supervisor’s day to day functions include assisting clients with sales and rentals, training, assisting and supervising volunteers, some art handling which includes assisting artists with incoming and outgoing work, co-hosting events, and a large portion of the job is organizing and processing paperwork, including data entry and acknowledging monies for rentals and sales. Tasks beyond the day to day operations include assistance with marketing & promotion and the content and/or design needed for this.

This position is considered full-time, but please note budgeted at 30 hours per week. The pay range is $18.00 to $20.00 per hour, depending on experience. The position is eligible for the Museum’s benefits package first of the month following 30-days of full-time employment. RESPONSIBILITIES
Assists in supervising volunteer staff and acts as liaison with Head of Volunteer Services for volunteer events and functions
Assists clients on the selling floor and/or manage sales floor when necessary, including phone or email correspondence
Organizes and processes paperwork for all rental and purchase contracts
Prepares artists and patron notices, invoices, receivables, and follows up on delinquencies
Assists Head of RSG with marketing efforts including technical support, promotional design, and website maintenance
Assists with inventory maintenance
Perform all the critical job functions in Head of RSG absence
Work effectively with volunteers, Museum staff, and the public
Use computer spreadsheet, data entry, and word processing according to RSG needs
Assist in jury process for thrice annual art shows
Promote shows to public through marketing online and in the community
Occasionally, extra marketing conducted for special events and promotions
On occasion, support with art installation will be requested (lift 10-30 lbs)

QUALIFICATIONS
At least one year of supervisory experience desirable with 1-2+ years of database administration experience required
Some higher education or vocational training in art, IT, and/or art administration; or equivalent combination of education and experience
Previous sales experience desirable
Effectively communicate and maintain working relationship with volunteers, artists, community stakeholders, leadership team, colleagues, etc. Contribute to a positive organizational culture based on mutual respect, collegiality, collaboration, and openness to many perspectives
Work collaboratively in an equitable and inclusive framework with individuals from a wide variety of backgrounds
Capable of self-directed work; able to set and meet multiple and/or competing deadlines in a fast-paced, team-oriented environment

Organization and planning skills
Proficiency in Microsoft Office Suite
Knowledge of graphic software programs desirable, such as Adobe Illustrator, Word Press, Mail Chimp or similar, and social media
Flexibility and willingness to shift gears on short notice
Occasionally, physically lifting 10-30 lbs.
