ABOUT CHAMBER MUSIC NORTHWEST (CMNW)
Now in its 55th season, Chamber Music Northwest is one of the nation’s most vibrant and impactful chamber music organizations, producing intimate concerts by world-renowned musicians in addition to nearly 100 free education and community events annually. We are best known for our Summer Festival which runs for five weeks from the end of June through July each year. Attending concerts and engaging with musicians and music lovers from varied backgrounds is one of the privileges of what we do. THE POSITION
Chamber Music Northwest’s Development Associate & Event Coordinator is a key member of the fundraising team, responsible for providing excellent customer service to CMNW’s family of donors, subscribers, audiences, and volunteers. While directly supervised by the Development Director, they work closely with all staff to build strong and lasting relationships with patrons and community members.
Donor Cultivation & Stewardship
- In collaboration with the Development Director, help design the annual Development Plan, goals, and activities to secure $1.2 million+ to advance our mission.
- Coordinate donor communications, including direct mail fundraising appeals, annual report mailings and more.
- Help write donor updates, thank you notes, and proposals.
- Generate prompt and personalized acknowledgement of contributions.
- Maintain and update donor records in the Patron Manager database (a Salesforce product), process gifts, produce reports, and pull contact lists.
- Support Development Director with Grant and Corporate Campaign Management, assisting with proposal editing, gathering materials, and managing workflow.
- Assist donors and VIPs in making their gifts, reserving tickets, assignment of VIP seating, and general inquiries.
Event Coordination
- Manage event logistics for patron receptions and parties, summer festival picnics, annual meeting, and more from invitation mailing through day-of management.
- Plan, organize, and oversee fundraising events, including the annual education benefit and donor-hosted house/garden parties.
- Liaise with and schedule volunteers for development events and mailings, utilizing Salesforce tools for scheduling, shift reminders, and tracking volunteer hours.
- Serve as a public face of CMNW at events and concerts, greeting, thanking, and assisting patrons.
- Manage the Board of Directors calendar and meeting logistics, distribute reminders and materials, and order food.
- Supervise summer development intern to successfully assist you in performing your duties.
Other Duties
- Serve as office support, ordering supplies and managing equipment.
- Along with all staff, assist with ticket sales during heavy sales periods.
- Other duties as assigned.
QUALIFICATIONS
Requirements:
- Associate’s degree with experience in fundraising, box office, and/or volunteer management in an event-oriented environment.
- Excellent communication and interpersonal skills and authentic enjoyment of working with the public, especially with those age 55+.
- A communication style that employs discretion, tact, diplomacy, and graciousness with different personalities.
- Willingness to work evenings and weekends.
- Attention to detail and high level of organization.
- Flexibility
- Demonstrated success in functioning effectively in a fast-paced environment while meeting deadlines and maintaining a sense of humor.
- Clean driving record and a valid driver’s license.
- Proficiency in Microsoft Office (Word/Excel/PowerPoint).
- Must excel at working both independently and collaboratively.
Preferred:
- Background or interest in classical music or the arts, and/or interest in arts administration, development, or non-profit management.
- Prior experience in arts administration or an arts festival.
- Familiarity with the Portland metro area and audiences.
- Experience using a customer relationship management database like Patron Manager/Salesforce.
- Access to a reliable vehicle.
Job Conditions
On non-concert days, this position spends the majority of time in an office setting, creating and maintaining paper and computer files and communicating using email and telephone. The workspace is lit with fluorescent and natural lighting. The Associate’s workstation, desk, and other equipment are not shared and can be adjusted to make them more ergonomically comfortable. In addition to a computer workstation and phone, the Development Associate uses the shared copy machine and postage meter.
Standard office hours on non-concert days are between 9am-5pm; evening work up to 11:00 pm on concert nights. (Evening concerts generally start at 7:30 or 8pm and last up to 2 ½ hours).
Physical Demands
This position requires extended periods of sitting and standing, concentrated data entry using computer keyboard and mouse, and occasional extended periods of phone work. Occasional lifting of up to 40 pounds without assistance.
Compensation and Benefits
The position is full time, averaging 40 hours per week. Compensation starts at $24 per hour. CMNW offers two weeks paid vacation plus 10 holidays, 5 sick days, and 2 volunteer service days. We offer health, vision, dental, and long-term disability insurance. After 6 months CMNW will contribute 5% of the employee’s salary to a Fidelity 403(b) retirement plan. $100 monthly transportation or parking stipend. The current cost of a reserved onsite parking space is $150.
