Senior Manager of Marketing and Guest Experience

The College of Liberal Arts at Oregon State University is seeking a Senior Manager of Marketing and Guest Experience. This is a full-time (1.00 FTE), 12-month, professional faculty position.

The Integrated Arts and Humanities Program at Oregon State University includes the Patricia Valian Reser Center for the Creative Arts (PRAx), the Center for the Humanities (CFTH), and the about-to-be-built Center for Material Cultures Research in Art, Archaeology, and Indigenous Studies. Taking direction from the Executive Director of PRAx/Associate Vice Provost of Arts and Humanities, from the Director of Humanities Initiatives, and from the Managing Director of PRAx (who is the direct supervisor), this position has overall responsibility for the ways in which all the entities in the program present to the public. At PRAx in particular, marketing and guest services are tied together by specific operational systems (CRM, ticketing software, and email marketing platforms) as well as reputationally, and the Senior Manager has equal responsibility for strategic data management, for communications, and for overseeing the front-of-house guest experience in keeping with the overall brand. The position works equally with backend data sources, public-facing marketing and communications, and directly with the public. The position requires the ability and willingness to work hands-on at events while also supervising staff and conducting administrative duties. The position requires the ability to shuttle between arts-oriented and humanities-oriented forms of communication in order to achieve the public-facing goals of the integrated program.

30% Marketing and Communications 
    • Write, edit, and/or review marketing and communications content – including season booklets, social media posts, event advertising, flyers, and digital assets – as well as the recording, editing, and or/selecting of images, videos, and other digital assets as necessary
    • Maintain an understanding of, and seek out, content from across the University related to arts and humanities integration (meaning the connection of arts and humanities with disciplines across the campus), to related research and creative activity, and to special initiatives related to the Integrated Arts and Humanities Program.
    • Collaborate with marketing and promotion professionals at Oregon State University (including in University Relations and Marketing, the OSU Foundation, and the College of Liberal Arts) to guide the development of communications and marketing materials. Research, plan, and implement marketing strategies for PRAx, the Center for the Humanities, and their  integrated programs.
    • Understand, represent, and advance the unique look-and-feel, brand, and identity of PRAx within the context of the larger OSU marketing ecosystem.
    • Supervise the Marketing Specialist in content areas related to media asset generation, audience, market, social media, advertising, and/or communication.
    • Guide decisions about marketing strategies and metrics, including oversight of strategies and scope of work for paid digital and paid media agencies.
    • Create and expand opportunities to encourage stakeholder dialogue, engage historically marginalized and underserved populations, promote cultural competence across all constituencies, and affirm and celebrate the University’s commitment to inclusive excellence.
25% Front of House Operations and Guest Services
  • Supervise the Box Office and Guest Experience Manager to establish front of house operations and procedures.  Establish a framework for guest services that includes guidelines on best practices in creating a welcoming and inclusive environment.
  • Monitor and oversee Box Office response time, guest engagement, and staffing levels.
  • Act as the primary authority for the tickets.prax@oregonstate.edu account, working with the Box Office and Guest Experience Manager to prioritize and delegate responses from the account
  • Collaborate with the Box Office Manager on employee onboarding and training policies.
  • Write, edit, and/or review communications, including email campaigns, know-before-you-go messages, and transactional communications related to tickets, event awareness, and similar areas.
  • Establish and operationalize appropriate schedule of guest surveys and other forms of audience feedback.
  • Communicate directly with guests, University leaders, and stakeholders to create opportunities and respond to concerns.
  • Maintain a working knowledge of event procedures, including the ability and willingness to work in the box office or as house manager at an event
25% Customer Relations Management (CRM)
  • Act as the primary authority for all PRAx, CFTH, and other guest lists. Conduct or delegate list management as needed.
  • Prepare lists for annual mailings, periodic emails, and other communications
  • Collaborate with the OSU Foundation to manage PRAx, CFTH, and other lists in accordance with law
  • Compile demographic data to maximize strategic communications and build audience engagement with the Arts and Humanities Program
  • Create and oversee CRM policies and procedures
  • Acquire and maintain a complete working knowledge of the ticketing system at PRAx, including CRM integration, for the purpose of supervision and, as needed, direct work within the system
20% Donor and VIP Relations
  • Collaborate with the Foundation and advise the Box Office Manager to ensure excellent donor experiences at PRAx, including arts and humanities events
  • Oversee the Friends of PRAx Lounge, a VIP space.
  • Issue direct invitations to special guests to visit the lounge and attend special events, including receptions, artist meet-and-greets, and similar
  • Manage donor stewardship, including engagements and special opportunities, in collaboration with the OSU Foundation
