EXECUTIVE DIRECTOR REQUIREMENTS AND JOB DESCRIPTION
The Executive Director is the Chief Administrative Officer of the Siletz Bay Music Festival and is responsible to the Board of Directors for the organization’s overall operation and management. The Executive Director represents the Siletz Bay Music Festival in the community and is responsible for carrying out its mission.
Salary: $56,000-63,000 per year, retirement plan, 4 weeks PTO
Commitment: Full-time, M-F, flexible schedule
REQUIREMENTS
- Commitment to the Siletz Bay Music Festival mission, principles, and
- Prefer a bachelor’s degree in a related field, or equivalent experience managing a non-profit organization or similar for-profit organization
- Ability to work effectively in collaboration with diverse groups of people and to be self-directed
- Proof of success writing and securing grants and developing relationships with granting agencies
- Proof of successful marketing campaigns to both local and outer markets
- Proven track record in identifying and cultivating donors, and the ability to generate revenue from local agencies, individual donors, and private foundations
- Strong fiscal skills and business acumen with experience managing and controlling operating expenses and program budgets
- Experience working with Boards of Directors, staff, and volunteers
- Excellent communication (oral and written) and public speaking skills
- Strong event planning skills and experience (organization, attention to detail, scheduling, follow-through, etc)
- Capacity to serve as a persuasive spokesperson to raise excitement and awareness of the Festival and its mission including the ability to engage a wide- range of stakeholders and interest groups particularly within the local community
- Social media fluency and application proficiency, including experience with Microsoft
Word and Excel, Google Docs, and familiarity with customer database systems - Position based in Lincoln City, Oregon
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Leadership:
- Actively engage and energize Siletz Bay Music Festival volunteers, Board members, committees, partnering organizations, and funders
- Coordinate all work done by committees, i.e., housing for musicians, meals for musicians, volunteers, fundraising events, student ambassadors and production
- Ensure ongoing excellence in financial controls, administration, fundraising, and communications
Financial / Operations Management:
- Be responsible for the financial management of the organization, including helping to develop and implement the annual budget
- Maintain accurate records of all financial contributions and make sure they are promptly acknowledged
- Ensure that all expenditures are recorded and consistent with the budget
- Review financial activity monthly and report to board at monthly board meeting
- Timely management of state and federal tax obligations
- Bi-weekly collection and processing of all Festival mail
- Partner with IT support to manage all Festival systems and promptly address any IT / Tech issues
Marketing:
- Create and implement a comprehensive annual Marketing Plan that reflects approved budget line items for campaigns to include: Campaigns for radio, print, and online sources and Posters, post cards, mailings
- Printed Program Production
- Secure Program ad sales & sponsorships
Fund Raising, Outreach, and Development:
- Establish fundraising goals and implement a plan to achieve those goals
- Establish effective communication with Siletz Bay Music Festival stakeholders, such as concert attendees, donors, volunteer groups, other arts organizations, public and government agencies
- Represent Siletz Bay Music Festival within the community, e.g., Chamber of Commerce luncheons, Lincoln City Cultural Center activities, attendance at other music functions
- Identify major donors and work with the Board to develop strong and sustained relationships
Grant Writing:
- Research and identify grant opportunities
- Ensure applications are well-written and filed by each deadline
- Ensure that all grant funds are spent as designated
- Prepare all grant reports as required by each grantor
Manage Performances:
- Manage current and newly negotiated licensing agreements to ensure compliance
- Negotiate venue contracts and oversee planning and execution for all events; work with venue personnel to ensure contractual obligations are fulfilled
- Rent necessary equipment
- Ensure proper insurance, permits, and licenses are in place
- Oversee all contracts for performance venues and associated vendors and services
- Attend all events as the public face of the Festival and as primary trouble shooter
Artistic Director and Musician Relationships:
- Negotiate annual contract with Artistic Director/Conductor for Summer Festival including housing and travel
- Collaborate with Artistic Director/Conductor on planning performances that may include a year-round chamber program, fundraiser and benefit, and festival concerts
- Hire Orchestra Manager upon recommendation of Artistic Director
- Work with Artistic Director, Orchestra Manager and Administrative Assistant to maintain and update musician database and prepare musician contracts
- Execute, distribute, track and pay all musician contracts & agreements
- Hire music librarian upon recommendation of Artistic Director and Orchestra Manager
- Work with Orchestra Manager in months preceding and throughout Festival
Volunteer Management:
- Organize volunteer recruitment activities to ensure adequate staffing levels
- Oversee volunteer committee for concerts, meals, housing, and administrative support
Board of Directors Relationship:
- Assist Board Chair to recruit new Board members
- Assist Board Chair with new Board member orientation and education
- Assist Board members in conceiving and complying with long and short-term strategic goals
- Be familiar with the articles of incorporation, by-laws, and all policies and procedures of the organization, and ensure that all activities are in compliance with those documents
- Collaborate with Board Chair to schedule monthly meetings and prepare agenda and materials for
Board members
- Attend all meetings of the Board of Directors and provide members with a report of ED activities
Supervisory Responsibilities:
- Train and oversee festival operations assistant, whose responsibilities include check deposits, bill payment, expenditure recording, insurance maintenance, ASCAP & BMI reporting and payment, and annual renewal of SAM (US Government’s System for Award Management)
- Supervise contractors who are engaged to provide services as needed during the Festival, including select members of Production Team and outside vendors e.g., stage construction, concert pianos, etc.
- Supervise office and administrative contractors who are engaged to provide daily services as needed such as bookkeeper, administrative assistant, web designer
Other duties, as required or requested by the Board
